Administrative Specialist
The position of Administrative Specialist / Receptionist will be the face of the company as well as assist professional staff in day-to-day operations by supporting client services and investment advisors. Functions and duties include but are not limited to front office reception, heavy phones, scheduling, daily CRM system processes, filing, and data entry.
Essential Job Functions:
- Data entry in CRM system (Salesforce); Creating and executing processes
- Heavy phones; maintain regular communication with clients
- Maintain organization of front office, conference room, and other common areas
- Appointment scheduling and follow up tasks
- Front desk receptionist; greet clients, prep and clean conference rooms for each client meeting
Work Experience:
- Combination of education and experience considered
- Experience in administrative support with a specialty in finance is a plus
- Proficient with all Microsoft Office, Outlook, and Adobe
- Experience with CRM systems; Salesforce preferred
- Keyboarding accuracy, 55 WPM
Knowledge and Skills:
- Flexible and a self-starter; proactive in recognizing needed tasks
- Excellent people skills; enjoys working in a collaborative environment; a team player
- Strong multi-tasking ability and able to prioritize and balance multiple tasks
- Excellent organizational skills

Hours:
• Full time
• Monday – Friday, 8:30 am – 5:30 pm
• Must be flexible to stay longer if needed or an occasional Saturday
